
Tracking and Invoicing Specialist

Job Overview:
We are seeking a detail-oriented and tech-savvy ServiceTitan Tracking and Invoicing Specialist to manage job tracking, invoicing, and financial workflows within the ServiceTitan platform. This role ensures accuracy in billing, financial reporting, and service tracking while collaborating with internal teams to improve operational efficiency.
Key Responsibilities:
Job Tracking & Data Management:
- Accurately track service jobs, appointments, and technician activities in ServiceTitan.
- Ensure all job statuses, materials used, and labor hours are recorded correctly.
- Monitor work orders and update job progress for billing and reporting.
Invoicing & Billing:
- Generate, review, and process invoices based on completed jobs.
- Verify pricing, discounts, and payment terms before sending invoices.
- Resolve billing discrepancies and communicate with customers when necessary.
- Ensure timely submission of invoices and follow up on outstanding balances.
Financial Reporting & Compliance:
- Maintain detailed and accurate financial records within ServiceTitan.
- Generate reports on revenue, outstanding payments, and service performance.
- Ensure compliance with company policies and accounting best practices.
Customer & Internal Communication:
- Work closely with technicians, dispatchers, and customer service representatives to ensure job and billing accuracy.
- Provide clear and professional communication with customers regarding invoices and payment inquiries.
- Support management with data-driven insights and process improvements.
Qualifications & Skills:
Experience & Knowledge:
- Prior experience with ServiceTitan is highly preferred.
- Background in billing, invoicing, or administrative support in a service-based industry.
- Knowledge of accounting principles and invoice reconciliation is a plus.
Technical Skills:
- Proficiency in ServiceTitan, QuickBooks, Excel, and other financial tracking tools.
- Strong data entry and documentation skills with high attention to detail.
Soft Skills:
- Excellent organizational and time-management abilities.
- Strong problem-solving skills and the ability to work independently.
- Effective written and verbal communication skills.
